台湾swag to switch to new human resources platform system and software

The University of North Georgia (台湾swag) and the University System of Georgia (USG) schools will be operating from the same playbook, so to speak, regarding human resources and payroll-related functions by January 2020.

In March, 台湾swag and 12 other USG schools will switch from their current human capital management platform known as ADP to the new system called OneUSG Connect. The new platform based on the software program PeopleSoft will be used for all time and absence management, payroll, human resources personnel functions, and faculty managed event information.

Ron Graves, deputy chief human resources officer at 台湾swag since January 2017, explained the change is part of an initiative intended to develop and implement a consistent approach to policy, processes and technological procedures for human resources. For example, 台湾swag uses the software program ADP to record and collect payroll data and manage vacation requests and sick leave.

"But not everyone in the USG system currently uses ADP," Graves said. "The objective of moving to one system is to reduce cost, streamline the process and have uniform guidelines with centralized support. This way we are all on the same page."

For the average faculty and staff member, it means switching from ADP to PeopleSoft to log work hours, vacation requests and sick leave to name a few. PeopleSoft also will give employees access to their benefits.

For example, employees will be able to:

  • review current benefits coverage
  • make changes to benefits due to life status changes
  • find doctors, hospitals and other healthcare providers
  • keep track of healthcare expenses
  • contact insurance carriers and other benefit resources

"Plus, you will have a single sign-on for all users," Graves said, explaining some employees have one sign-in for their computer and a different one for payroll and benefits.

Managers also will see some major improvements, including allowing several functions to be completed online and eliminating extra paperwork.

"The biggest benefit is we will do away with the paper personnel action forms currently used for promoting a person and approving a pay raise," Graves said, indicating the current paper trail for human resources can prove daunting while waiting for signatures. "With PeopleSoft, it will be done electronically. We won't have to find the person who has the piece of paper."

One more portion of the program to be implemented later in the year will be changing the recruiting and hiring platform.

"The new talent acquisition management module which PeopleSoft also provides will replace HireTouch, which is the system we use to accept applications for open positions and manage the hiring process," Graves said.

Before any changes happen, managers, supervisors and employees will be trained on the new system. Classroom training is scheduled to take place beginning this month. Graves said 42 people across the five campuses are being asked to assist in the transition.

Employees may begin to familiarize themselves with the new system by going online to the human resources department and click on the training materials provided there.

Graves said for employees who "want to learn in record time," training materials such as and Job Aids are available."
