Dual Enrollment Student Checklist

Congratulations on your acceptance to the University of North Georgia!

As a high school new student participating in the Dual Enrollment program, you’re bound to have tons of questions about starting classes at the University of North Georgia. You know you’re accepted, but what’s next? There are several tasks you must complete to finish the enrollment process and begin your journey as a ̨��swag Nighthawk.

1. Immediate Steps After Acceptance

1.1 Submit Your Confirmation of Acceptance Form

All students should complete a Confirmation of Acceptance. Refer to the Undergraduate ̨��swag Confirmation of Acceptance page for what action you need to take. You must submit your confirmation by our deadlines, or if accepted after the confirmation deadline, within two weeks of acceptance.

You must complete the Confirmation of Acceptance process prior to receiving access to the Online Pre-Orientation modules.

1.2 Activate Your ̨��swag Account
You will use the same username and password to log in to a number of important university systems. to find your username and enroll in the password management system.

Note: When setting up your Two-Factor Authentication (2FA), before setting up biometric approvals (face/fingerprint), please define your phone for calls and texts to prevent issues when authenticating to additional devices.

Once you have activated your ̨��swag account, for your security, all ̨��swag contact and correspondence will be sent to your ̨��swag email account. Please also use your ̨��swag email account when contacting ̨��swag faculty and staff. It is important to be checking this email consistently on a weekly or daily basis.

Please note: After a student is admitted, it may take up to 48 hours before the student's information is available to activate. If you are not able to activate your ̨��swag account after 48 hours, contact the IT Service Desk at 706-864-1922 for assistance with activation.

Once complete, then you will be able to access and explore:

1.3 Submit the Dual Enrollment Funding Application

In order to utilize Dual Enrollment funding, the yearly Dual Enrollment funding application must be completed through . Eligible Dual Enrollment students may receive up to 30 credit hours of approved course funding during their time in the Dual Enrollment program. A list of Dual Enrollment approved courses can be found on the .

Students that exceed thirty credit hours or choose to take non-approved courses, will self-pay for those courses. If you are close to exceeding your hours or plan to take a non-approved course, email your Dual Enrollment Advisor for mandatory additional paperwork that must be completed prior to your advising appointment. This form must be signed by a parent and high school/home study counselor prior to any ̨��swag course registration.

In addition, students may not receive Dual Enrollment funding to retake a course for a second time. Students who wish to retake a course will self-pay for the reattempted course. This includes if a student should withdraw from a course and decide to take it another semester. Email your Dual Enrollment Advisor for mandatory additional paperwork that must be completed prior to registering for the course you plan to retake.

2. Actions to Complete Prior to Advisement and Registration

2.1 Meet With Your High School or Home Study Counselor

If you haven’t already done so, you must meet with your high school or home study counselor to discuss which classes you should take through the Dual Enrollment program as it is your responsibility to know which courses you need for high school graduation. During your meeting, make sure to verify what days and times you will be available to take Dual Enrollment classes.

2.2 Complete Online Pre-Orientation Modules

Complete the self-paced Online Orientation modules to get a better understanding of resources at ̨��swag to help you be successful. To complete the online pre-orientation modules, refer to the . The modules are found on the menu to the right side of the screen. Be sure to fully complete all modules, check each acknowledgment box, and click submit. There is no charge for the online pre-orientation modules.

Note: You must submit your confirmation of acceptance before accessing the orientation reservation system.

2.3 Complete eCore Introduction Quiz

Complete the whether or not you plan to take an online course at this time. The quiz takes less than 10 minutes to complete.

eCore courses are designed, developed, taught and supported by faculty and staff from the University System of Georgia (USG) and are a great option for completing core curriculum requirements.

Please note: The (start/stop dates) is different from the normal ̨��swag academic calendar.

2.4 Check for Holds
Log in to and select the Student view

On the Banner Student Home Page, underneath the “Student Services” section, select “Student Profile”

On the right-hand side, select "Holds"

Dual Enrolled Student (DE) Hold: This hold will remain on your account while you are in the Dual Enrollment program. No action is required.

Registration Agreement Needed (RN) Hold: This hold prohibits registration. It is required every six months.

To remove the hold:

Log in to and select the Student view

Select the four-square icon in the upper left corner

Select "Banner"

Select "Student"

Select ""

Read the terms of agreement and select "I agree" at the bottom

Once "I agree" is selected, the hold will be removed

Reference the Student Holds website for an explanation of other holds and how to remove them.

2.5 Monitor Advisement Correspondence (Class Registration Information)

Academic Advisors will work with you to create class schedules. Your advisor will send an email when this process begins mid-April (for Summer and Fall courses) or Mid-November (for Spring courses). Please wait until you have received an email stating that advising is open to newly admitted students before scheduling an appointment with your assigned advisor.

Academic advisors meet with students on a first-come first-served basis based on when a student schedules a registration appointment. During the appointment, students will review their schedules and make changes as needed. If changes are needed afterward, students have until the end of the add/drop period to solidify their class schedule.

Parents, please note that advisors will work directly with students. Advisors are happy to include parents in the advising session upon receiving student permission, but communication and course discussions will primarily be directed at the student. Refer to FERPA guidelines for more information.

3. Actions to Complete After Advisement

3.1 Submit a Photo for Your ̨��swag ID Card (Nighthawks Card)

Note: Online Photo Submission for new terms will not be available until the below dates.

3.2 Set Up Your Accessibility Accommodations (If Applicable)

As you may already know, obtaining special accommodations in college is different than it is in high school. If you previously had an IEP, 504 plan, or other documentation that would reflect the need for accommodations, please contact the Office of Student Accessibility Services to discuss your specific needs and the process to receive accommodations at ̨��swag. Please be advised that the intake process takes time, so it’s important to schedule an appointment before the start of term to ensure your accommodations are in place when classes begin. Students must actively request accommodations, even when they transfer from another college, through the Student Accessibility Services office in order to receive them.

Once registered, you will need to notify your professor(s) in order to receive special accommodations.

3.3 Attend Nighthawk First Phase (Orientation)

Students admitted to the Dual Enrollment program at ̨��swag are highly encouraged to attend Nighthawk First Phase which covers Dual Enrollment Orientation information presented in a live virtual session via Zoom. A parent or guardian may attend along with the student.

Nighthawk First Phase dates and information on how to register will be provided via ̨��swag email.

3.4 Submit Your Immunization Form

All new students attending regularly scheduled classes are required to submit a Certificate of Immunization to Student Health Services. Find more information and download the form from the Dean of Students website. Students will have a registration hold placed on their account preventing registration for a second semester until this documentation is submitted.

3.5 Complete the Online Learning Readiness Assessment

All incoming students should complete the t. The survey takes about 30 minutes to complete. It is designed to help you understand your habits, traits and skills as they are related to learning at the college level. Completion of survey and survey results do not affect course registration.

3.6 Schedule Adjustments

Changing classes or adding/dropping classes must be completed by a ̨��swag Dual Enrollment Advisor and is subject to your high school’s schedule change policy and deadline. In order to make schedule changes after high school classes begin, official written approval via email from the high school counselor to the ̨��swag Dual Enrollment Advisor will be required.

For ̨��swag, students have until the end of the add/drop period (first week of classes) to solidify their class schedule. Note that changes during the add/drop period are very difficult for Dual Enrollment students, and students may be unable to add classes due to limited class availability. Dual Enrollment Students who utilize the drop/add period but open books or use codes or materials and then drop the class, may be subject to fees. These fees could be $75 per class.

4. Actions to Complete Prior to First Day of Class

Note: Dual enrollment students should complete these steps one to two weeks before the first day of class.

4.1 Order Your Virtual Parking Permit

All vehicles on campus are required to register for a valid ̨��swag parking permit. Parking permits will be available for registration for summer and fall starts on August 1. Students beginning classes in the summer semester do not need to register for a parking permit until August 1. Learn more about registering your vehicle.

4.2 Order Textbooks

The Dual Enrollment program funds your required textbooks, which are only provided through the ̨��swag bookstore. These books will be ordered for you – you do not need to order them. The bookstore and your Dual Enrollment advisor will email you with information on how to access your books. Make sure to read emails carefully as you may also receive generic emails geared towards all ̨��swag students about purchasing textbooks.

If you do choose to purchase your own materials, you will not be reimbursed for those items.

You must return your textbooks (or cover their cost) at the end of the semester and prior to picking up next semester’s books.

If you drop a class during the drop/add week, you may be charged up to $75 for any of the course books or codes that were provided to you by the bookstore.

4.3 Fee Payment

̨��swag will process Dual Enrollment funding after the start of the semester and the process can take a few weeks. In the meantime, you may receive an invoice email from the ̨��swag Business Office. Dual Enrollment funding covers course tuition as well as most fees but does not cover lab fees associated with foreign language courses or lab science courses. If you enrolled in a course with a lab fee, you must pay the fee. If you have questions about the invoice you receive, reach out to your Dual Enrollment advisor.

Unpaid fees will result in withholding your ̨��swag transcript (needed for scholarship applications, college applications, etc.) and prevent future course registration. All fees should be paid by the fee payment deadline. Refer to the View and Pay Your Student Invoice page for the steps on how to pay your fees.

4.4 Tuition Payment (If Applicable)

Students that exceed thirty credit hours or choose to take non-approved courses, will self-pay for those courses. If you will be self-paying for all course(s) during a semester, you must meet all ̨��swag payment deadlines. Refer to the View and Pay Your Student Invoice page for the steps on how to pay your balance. Failure to pay by the deadline will result in late fees and/or cancellation of your schedule of classes.

4.5 Review the Tech Talk Guide

The Tech Talk guide is an introduction to the highly utilized technologies available at ̨��swag. Students should be familiar with each of the items in this guide.

To access the Tech Talk Checklist, log in to . Go to Menu Bar on the left side of the ̨��swag Connect home page. Scroll down to My Checklist and click on Tech Talk Guide. You will see a series of items with clickable links. As you complete each item, please mark the checkbox. Keep going until your completion bar reads 100%.
